Job Description

Overview:

The Clinical Purchasing Coordinator is responsible for managing the procurement of medical, dental and other goods and services for the organization, ensuring competitive pricing, maintaining accurate inventory, and supporting the purchasing process within the organization. This role involves significant interaction with vendors and internal staff to ensure timely and efficient procurement operations. Position requires regular travel to/from clinical sites to support staff with purchasing and management of supplies.

This is a full time, 40 hours/week, benefit eligible position.

Benefits

Responsibilities:

Procurement and Vendor Management:

  • Generate purchase orders, verify receipt of goods, and approve invoices for payment.
  • Oversee procurement of medical equipment, tools, and supplies through various sources and vendors, ensuring compliance with organizational policies.
  • Monitor order status to ensure accurate and timely delivery of products and services, ensuring compliance with contract terms.
  • Reconcile and resolve any open purchase orders and invoice discrepancies with vendors.
  • Attend vendor meetings to discuss pricing, payment terms, and overall service.
  • Manage vendor relationships, gather feedback from sites on vendor performance, and maintain open communication.
  • Adhere to vendor contracts and agreements, ensuring compliance and strong working relationships.

Inventory Management:

  • Maintain and update medical, dental and other supplies and equipment inventories using the internal inventory system.
  • Conduct regular site audits to ensure inventory accuracy and compliance.
  • Facilitate returns of supplies, ensuring accurate account credits.
  • Produce analytical reports showing annual savings by switching vendors or products/services.
  • Compare product deliveries with purchase orders and contact vendors to resolve discrepancies.

Administrative and Support Duties:

  • Support clinical and other staff involved in the purchasing process, assisting with procurement requests and advising on procedures.
  • Support clinical staff with set up/removal of medical supplies.
  • Maintain a Purchase Order system linked to accounts payable, ensuring timely processing of invoices.
  • Ensure all supply-related paperwork flows efficiently from sites to accounts payable.
  • Answer and complete Help Desk ticket requests promptly, adhering to internal Service Level Agreements.
  • Communicate and accurately relay information with other departments such as Facilities, IT, and Operations.

Quality Management and Customer Relations:

  • Participate in quality improvement activities to contribute to organizational success.
  • Respond promptly and with care to patients and employees, respecting their psychosocial, spiritual, and cultural beliefs.
  • Maintain professional working relationships with all levels of staff, clients, and the public.
  • Operate in a manner that instills confidence in our care and facilities among patients, employees, and stakeholders.

Safety and Compliance:

  • Follow all safety procedures as outlined in the organization's Illness and Injury Prevention Plan (IIPP) and report any injuries or unsafe conditions immediately.
  • Use appropriate body mechanics to ensure an injury-free environment.
  • Follow all infection control procedures, including blood-borne pathogen protocols.
  • Maintain privacy of all patients, employees, and volunteer information, accessing such information only on a need-to-know basis.
  • Comply with all regulations regarding corporate integrity and security obligations; report unethical, fraudulent, or unlawful behavior.
Qualifications:
  • High School diploma or GED required; Associate degree preferred.
  • Minimum 2 years of purchasing or accounting experience required, with a preference for experience in the healthcare industry.
  • Previous experience with procurement software is strongly preferred.
  • Knowledge of medical terminology, procedures, and equipment required.
  • Highly organized, strong initiative, attention to detail, and task management skills. Excellent written and oral communication skills.
  • Advanced knowledge of Microsoft Office (Outlook, Excel, Word) is required.
  • Tech-savvy with the ability to navigate internet-based platforms effectively.
  • Ability to lift up to 50 lbs.
  • California Class C drivers license required. Ability to travel regularly to various work sites.
