Job Description

Job Summary

The Payroll Specialist is responsible for managing and processing payroll for attorneys, paralegals, and administrative staff in compliance with federal, state, and local regulations. This position ensures timely and accurate payroll runs, benefits deductions, and timekeeping while maintaining strict confidentiality. Experience in a law firm environment is highly preferred due to the complexity of compensation structures, including partner draws, bonuses, and billable hour incentives.

Key Responsibilities

  • Process biweekly or semimonthly payroll for all employees using [insert payroll system, e.g., ADP, Paychex, Workday].

  • Maintain accurate records of hours, bonuses, deductions, and leave accruals, including PTO and sick leave tracking.

  • Ensure compliance with local, state, and federal payroll laws, including tax withholding and reporting.

  • Manage payroll-related inquiries from attorneys and staff, resolving discrepancies promptly and professionally.

  • Coordinate with HR and Benefits to process new hires, terminations, and employee changes accurately in payroll.

  • Handle year-end payroll tasks such as W-2 preparation, bonus payments, and reporting.

  • Process partner compensation, including equity draws, guaranteed payments, and profit distributions as applicable.

  • Work closely with Finance and Accounting to reconcile payroll accounts and assist in audits.

Qualifications

  • Associate's or Bachelor's degree in Accounting, Finance, or related field preferred.

  • 3+ years of payroll experience; experience in a law firm or professional services environment strongly preferred .

  • Working knowledge of payroll systems and timekeeping software (e.g., ADP, Paylocity, UKG, or similar).

  • Understanding of exempt vs. non-exempt rules, overtime calculations, and multi-state payroll tax regulations.

  • High level of confidentiality, accuracy, and attention to detail.

  • Excellent communication and interpersonal skills.

Preferred Qualifications

  • Familiarity with law firm billing systems (e.g., Elite, Aderant, Clio) is beneficial.

  • Experience processing partner distributions and deferred compensation plans.
